We are seeking an experienced administrative professional/receptionist for an accounting firm in Macon, Georgia to support our staff performing a broad range of administrative and reception duties.
Requirements and Duties
- Professional appearance is a must, as you will be the face of the firm
- Support multiple staff members in administrative tasks
- Excellent verbal communications skills with a personable phone voice
- Manage multiple projects simultaneously ensuring that deadlines are met
- Prioritize work by evaluating risk, importance, and urgency
- Draft, edit and proofread internal and external correspondence and documents
- Manage and confirm appointment calendars and itineraries for client meetings and business events prepare applicable tools and documents for these meetings; and communicate calendar and itinerary changes
- Utilize expert time management skills by screening, researching, and managing correspondence, messages, telephone calls, and clients visits to prevent interruptions and resolve issues
- Package client information in an organized fashion for their ease of use and understanding and utilize customer service skills to communicate with the clients regarding needed information
- Ability and willingness to master various software applications
- Maintain professional and technical knowledge of position and software by participating in continuing education workshops, seminars and events
Desired Skills & Experience
- At least 2 years of experience as an administrative assistant in a corporate environment. Prior experience in public accounting a plus
- Excellent verbal and written communications, presentation and interpersonal skills
- Skilled in researching, editing, drafting and proofreading a broad range of correspondence and documents
- Exceptional time management, organization skills, and follow through. Ability to multi-task and establish priorities to meet deadlines
- Resourcefulness
- Ability to implement experience, education, and creativity to accomplish goals
- Ability to interact and adapt to diverse audiences at all levels internally and externally, and to changing priorities
- Self-directed and self-motivated to work independently. Flexible to work as a team member
- Be proactive and exercise sound judgment and decision making. Identify problems or needs and develop solutions
- Intermediate to advanced proficiency using Microsoft Word, Excel and PowerPoint; Experience using Microsoft Outlook e-mail and Calendar to schedule projects, meetings, events, etc.
